(M1) Reduce the Impact of Communication barriers

 

 

 

Introduction

 
Now I am going to be explaining the mechanisms that can reduce the impact of communication barriers.
 
Mechanisms can be put in place within the workforce, this will enable the barriers to decrease and enable tasks to be carried out without any form of disturbance. For example a presentation taking place without the distraction of noise from other people or things. 
 
 

Distractions

 
Turning of mobile phones will stop the distraction an example of this would be if a mobile phone rings in the middle of a presentation; by turning of mobile phones this will stop other members within the room looking around to see whose mobile phone was ringing.
 
It is also important that a formal talk or presentation is taken within a quiet location; this would then limit the amount of distractions around the room.
 
Some employees may also be seated on a chair which squeaks or is of annoyance, to limit the distractions it is important for the presenter to check the equipment within the room which could be of a disturbance to those who are listening.
 
 

 

Spelling & Grammar

 
By using spell check on word documents enables all grammatical and spelling errors to be corrected by the click of a button. If it is a hand written document review any words you’re unsure of in a dictionary and make sure the hand writing is clear and consistent to be able to read.
 
When a presentation is being given the person who is presenting it will need to proof read their work or use spell check to see if there are any spelling mistakes. This will enhance their presentation as when the information is being presented it can be easily followed without any mistakes occurring throughout the presentation.

One example of a mechanism which can be used to reduce the impact of this barrier to communication is by not rushing when you are doing your work and you should use the spell checker. Finally this would work because you will have fewer errors in your work.


Cultural Differences

By researching the person’s culture can help you to understand them more and show that you are trying to overcome the difficulties. Also if language is the problem then having a translator whether it’s a person or the Google translator it will be able to communicate ideas to one another.

One example of a mechanism which can be used to reduce the impact of this barrier to communication is by respecting other people's beliefs and social habits. This will work because by respecting other cultures, it will show that you are not discriminating.

Language

An example of a mechanism which can be used to reduce the impact of this barrier to communication is by using words that less technical people can understand because people who do not work inside an IT business will not know some of these words.
Another mechanism which can be used to reduce the impact of this barrier is by using a translator when you do not understand what people are saying to you of a different language. Finally this would work because by using a translator you will not be offending people who speak a different language.
 

Background Noise



 
Background noise could be people running back and forth causing a lot of distractions within the presentation, or people outside the room talking loudly can also affect the noise level.

Background noise can be reduced by moving to a place where it has less distractions and less noise. It is also a good idea to tell others to be quiet when you are doing a presentation. When you do your work on the computer you can move to a different place where it is quiet and has less noise or you can listen to quiet music when you do work using your headphone so this can’t distract you from background noise and this can make you work. These are the solutions to avoid background noises.
 
When doing a presentation this could knock he presenter of what he or she is talking about or it could result in the listeners not being able to hear the presentation.
A way in which this could be stopped would be by locating the presentation in a quiet location, where noise would be limited.
 
Here are other examples on how to reduce background noise:
 
  • Use instant messaging instead of loud conversations which can distract others.
  • Use of partitions in office set up discourages peoples from chatting to the person beside them. 
  • Close windows if noise is coming from outside.
  • Close the office doors if there is noise coming from outside the office.
  • Hold meetings in another room.
